You are able to unsubscribe from our email distribution list by writing to usoffice@epa-internships.org and asking to be removed from our mailing list. Please put “REMOVE” in the subject area and in the body copy include your full name and email address. We do not distribute email addresses under any circumstance.

Lawful Basis for Collecting and Processing of Personal Data
EPA coordinates study abroad and internship opportunities for students studying in the US and Canada. In order to perform this duty EPA must collect, use, and process personal data. The collection and processing of personal data by EPA is necessary for the purposes of the legitimate interests pursued by EPA or third parties in providing: study abroad coordination; education; internship placement; emergency care; and accommodation.
Types of Personal Data collected and why
In order for EPA to provide study abroad coordination; education; internship placement; emergency care; and accommodation, it needs to collect the following categories of personal data:
- Name
- Contact information including, without limitation, email address, physical address, phone number, and other location data
- Unique personal identifiers and biographical information (e.g. date of birth)
- Photographs of you
- Details of your education and/or employment qualifications
- Grades and supervisor evaluations
- Medical information including, without limitation, immunization records
- Information related to visa requirements, copies of passports and other documents to ensure compliance with U.S. laws
- Financial information gathered for the purposes of administering fees and charges, loans, grants, scholarships, etc.
- Information related to the prevention and detection of crime and the safety of employees and students.
Who the information may be shared with
EPA sometimes needs to share the personal information it processes with the individuals themselves and also with other organizations. This information will be processed and handled by EPA with the principles of fairness, lawfulness, transparency, purpose limitation, accuracy, storage limitation, integrity, confidentiality and accountability, as well as the utmost protection of individual’s privacy.

Where EPA gets Personal and Sensitive Personal Data
EPA receives personal and sensitive personal data from multiple sources. Most often, EPA gets this data directly from the data subject or under the direction of the data subject who has provided it to a third party (for example, application for study abroad at their home institution).
Security of Personal Data subject to the EU GDPR
All personal data and sensitive personal data collected or processed by EPA will not be shared with third parties except:
- as necessary to meet one of its lawful purposes, including but not limited to,
- its legitimate interest,
- contract compliance,
- pursuant to consent provided by you,

- as necessary to protect EPA interests;
- with service providers acting on our behalf who have agreed to protect the confidentiality of the data.
Storing information:
EPA stores data up to 10 years after the program ends to understand the make-up of our applicants, track internship placements, and contact past participants. This information may be shared with the individuals themselves, EPA, EPA’s Program Directors, and higher education institutions.
All personal data and sensitive personal data collected or processed by EPA will not be shared with third parties except:
- as necessary to meet one of its lawful purposes, including but not limited to,
- its legitimate interest,
- contract compliance,
- pursuant to consent provided by you,
- as required by law;
- as necessary to protect EPA interests;

- If you request that data be completely purged, this prohibits EPA from verifying your participation or grades for future employers, graduate schools, security clearance applications, or the like.
